Copilot Chat is a free AI assistant, like ChatGPT, included in Basic, Standard and Premium. You type or paste something, and it answers or helps with the document you have open. You don’t need to buy anything for it.
Copilot Business goes further: it finds answers in your own emails, files and meetings by itself. For example, “What did the client say about the price last week?” or “Summarise yesterday’s meeting”. To get it, buy one of these:
- Business Standard with Copilot, instead of Business Standard
- Business Premium with Copilot, instead of Business Premium

Billing & pricing questions
Plans, subscriptions, and licences explained
Plan
A plan is a Microsoft 365 product with a fixed set of features and a price, like Business Basic or Business Standard.
Unlike Google Workspace, you can mix plans in one company. For example, 5 users can have Business Premium while 10 others have Business Basic.
Subscription
A subscription is your active Microsoft 365 service for one plan. It includes the number of licences and runs for 1 year, paid upfront.
Licence
A licence gives a user access to the plan. Without a licence, the account exists but can’t use email or the apps.
Upgrading and downgrading plans
You can upgrade to a higher plan at any time, for example from Business Basic to Business Standard. You can downgrade only at the end of your 1-year term.
Prices, licences and cancellation: how does it work?
You pay per licensed user. Your subscription commitment and how often you pay are separate: paying monthly can still mean an annual commitment. We confirm the price, term, renewal and cancellation conditions before you order. You can add licences during the term; reductions and cancellation depend on Microsoft’s subscription rules.
What does “without Teams” mean?
In the EU, Microsoft sells every Business plan in two versions: with Teams and without Teams. The version without Teams is cheaper and suits companies that use another meeting tool, like Zoom or Google Meet. You can add Teams later.
User definition
A “user” is a person with a unique email address, like john@example.com, who signs in to Microsoft 365. Each user needs a licence. Aliases (extra addresses for the same person) and distribution groups are free. Shared mailboxes, like info@example.com, are also free up to 50 GB and need no licence.
Do addresses like info@ or sales@ need a paid licence?
No. You have two free options:
- Alias: an extra address for one person. Mail to sales@example.com lands in John’s own inbox, and only John sees it.
- Shared mailbox: a separate inbox that several colleagues open from their own Outlook, for example info@example.com for the whole office team. It’s free up to 50 GB, and every person using it needs their own Microsoft 365 licence.
Is mailbox storage shared between users?
No. Each user has their own 100 GB mailbox and 1 TB OneDrive. Only SharePoint storage for team files is shared across the company.
Adding and removing users and how it affects pricing
- You pay a fixed price per user per year.
- You can add users at any time. Extra licences are charged only for the remaining days until your renewal date.
- You can reduce the number of licences on your renewal date. Until then, all licences stay active, and you can reassign them to new users at any time.
300 user limit on Business plans
Microsoft 365 Business plans are for companies with up to 300 users. This limit comes directly from Microsoft. Each person who signs in needs their own licence. Larger companies can combine Business plans with Microsoft 365 Enterprise plans, which have no user limit.
Do I need to pay Canagon to set up Microsoft 365?
No. You or your IT administrator can set up Microsoft 365 free of charge, with Canagon’s step-by-step setup instructions. If you want Canagon to do the work, order the Microsoft 365 setup service. In the setup service, Canagon verifies your domain and configures your email.
EU VAT invoicing
We are required to charge VAT in the EU. Our EU VAT ID is IE3379091CH.
- EU businesses with a valid VAT number are not charged VAT (reverse charge).
- EU businesses without a valid VAT number are charged their country’s VAT.
- All customers in Ireland are charged 23% VAT.
Which Microsoft 365 plan should I choose?
- Business Basic: business email, Teams and Office in the browser.
- Business Standard: adds the desktop Office apps.
- Business Premium: adds security and management of company laptops and phones.
- Apps for business: only the desktop Office apps, without email, for companies that keep their current email.
Can I keep Gmail or my existing email and only buy Word and Excel?
Yes. Microsoft 365 Apps for business gives you the desktop Office apps without email. Outlook works with Gmail and most other email providers.
I already use Microsoft 365. Can I move billing to Canagon?
Yes. Your Microsoft 365 stays exactly as it is. Only your billing moves to Canagon.
- Authorize Canagon using this link. You also find it in the order form.
- Order your licences from Canagon.
- With your current provider, cancel the subscriptions you now buy from Canagon.
